Invoices

Has anyone ever had a client ask them to mail them an invoice, not email but postal mail? I had a client of mine that does hosting and did a web design job recently with us (paid in 3 different payments since they kept changing their mind after the coder had done his work), and on the 3rd payment she asked why I did not mail her the invoice.

Now the first two payments were paid on her credit card, in our billing system as preferred method of payment, shes never once asked for this so when she said for me to pay the job out, Client Exec billed her (emailed invoice of due, then another of it being paid) and now she is all "Did that really go through"?

:uhh:

I don't really blame her in truth. I like to have hard copies of stuff, and for me it's enough to just print them off. But maybe she had a need-tax requirements or something that meant that she needed a hard copy on your letter head?

I can see there being need for this.

Nothing wrong with a Hard-Copy Invoice.... I would suggest these kind of practises should be incorporated in Internet firms (especially for late payers)

Having said that with ClientExec you can print copied invoices.

WHMCS allows clients to download PDFs of any of their invoices at any point. I think some other billing software programs do, as well. That lets the client make the decision what to download and print, and when. Removes recordkeeping responsibility from the host, while providing the client with nicely printable copies of any invoices they may need.

In today's day and age, paper copies are a waste. If they really do need one for accounting, etc, then I would simply send them a PDF they can print off. If they don't have a printer... I could mail them one. IT wouldn't be a problem. I have to say though, receiving invoices by mail does really say something about a company. However it's a large investment for sure, depending on your client base.

Lesli, so does Client Exec which is what really confuses me about this design client. She had logged in and down this two other times before, and I know her hosting company (a friend of mine with a small local shop) uses the same thing for her hosting, so she is used to it there too. Maybe it was just a mind fart or something. :D

Wow...yeah, sounds like she just forgot that she had the capability to download the PDF herself. (I know I've done that sometimes.)
